1. About these terms
These terms apply to the BetterCare AI website, the BetterCare Android app, and the manager web app. The Android app helps authorised care workers convert audio into transcripts and separate draft care notes. The web app lets managers read care notes and make summaries.
BetterCare AI is operated by BETTERCARE-AI LIMITED, a company registered in England and Wales under company number 17465812. Our registered office is Flat 304 Block A, 27 Green Walk, London, England, SE1 4TT. In this document, "we", "us", and "our" refer to BETTERCARE-AI LIMITED.
Contact us at hi@bettercare-ai.com. By using the service, you agree to these terms. If you do not agree, do not use it.
Your organisation's signed customer agreement governs its purchase and use of the service, including charges, service commitments, and data processing. If these terms conflict with that agreement, the signed agreement takes priority for that subject. Nothing here limits an individual's statutory rights.
2. Access and permitted use
The apps are for professional use by staff authorised by a care organisation. The manager web app is for managers and administrators only. Use the apps only for your assigned work and in line with your organisation's policies.
We grant you a limited, non-exclusive, non-transferable right to use the apps while your organisation authorises your access and its agreement permits it. Keep login details secure, use appropriate device security, and report suspected unauthorised access promptly.
Do not share accounts, access records without permission, bypass security, disrupt the service, or use it for unlawful purposes. Do not copy or reverse engineer the software except where the law expressly permits it.
Managers and administrators can view, copy, and export carer passwords. They may hold a carer's password only to give it to that carer. Never sign in with another person's details. Keep exported login files secure and delete them after use.
3. Recording and personal data
You and your organisation must have authority to submit the recordings and information you provide. Follow applicable confidentiality, safeguarding, and data protection rules. Give people the required information about recording and obtain consent where required.
Record or type only what is needed for the care note. Do not record or type unrelated conversations or unnecessary personal information. Follow your organisation's instructions on devices, recording locations, and use of resident information.
When you copy a password from BetterCare, it passes through the device clipboard. BetterCare clears the clipboard after 1 minute when it can. Some keyboards and clipboard history tools keep their own copy. Submit approved care notes only to your organisation's care record provider.
Our Privacy policy explains how the service processes personal data. The customer data processing agreement sets out our detailed duties when we process care content for your organisation. Each customer defines its audio and transcript retention periods. We do not use customer content to train AI models or permit our processing providers to do so.
4. Check every draft before use
Speech recognition and AI formatting can produce errors, omit information, or add text that the recording does not support. You must review and correct every draft before you save it as a final record, share it, or rely on it.
Check resident identity, names, dates, medication, doses, and all care observations. Do not approve a note unless it accurately reflects the care provided and meets your organisation's record-keeping rules.
Managers and administrators can see a draft and its transcript while the author checks it. A draft is not a care record. Do not rely on it, copy it, or share it until the author approves it.
Summaries, including family summaries, are AI drafts. A manager must read and correct a summary before they share it with a family or rely on it.
BetterCare AI is a documentation aid. It does not provide medical advice, diagnose conditions, recommend treatment, or replace professional judgement. Do not use it for emergency response. Follow your organisation's normal care and emergency procedures.
5. Your content and our software
Your organisation and the relevant rights holders retain their rights in submitted content. These terms do not transfer ownership of care records to us. You permit us to process the content as needed to provide the service under the customer agreement.
We and our licensors retain the rights in the app, website, software, and branding. You must not remove ownership notices or use our branding without permission.
6. Availability and ending access
We may update the service, carry out maintenance, or change features. We do not promise uninterrupted or error-free operation. Any agreed service levels remain governed by the customer agreement.
We may restrict or suspend access where necessary to address a security risk, unlawful use, a material breach, or the end of your organisation's agreement. We will give notice where reasonably possible. Your organisation can also remove your access.
You can stop using the app at any time. For account deletion, contact your organisation or hi@bettercare-ai.com. Care records may remain subject to your organisation's retention duties.
7. Responsibility and liability
We will provide the service with reasonable care and skill. Your organisation remains responsible for care decisions, staff supervision, and the accuracy of the final records it approves.
Our liability to your organisation is governed by its customer agreement. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any liability that cannot lawfully be limited. These terms do not remove rights or remedies under data protection law.
8. App stores, changes, and governing law
If you download the app from an app store, its applicable usage rules and licence terms also apply. Apple and Google do not provide our care documentation service. Contact BetterCare AI for support.
We may update these terms to reflect service changes or legal requirements. We will update the date on this page and give reasonable notice of material changes. Changes to a signed customer agreement follow that agreement's own change process.
These terms are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction, subject to any mandatory rights that apply to you and any different provision in your organisation's signed agreement.
9. The website demo
The demo at bettercare-ai.com/demo lets care professionals try the carer app in a browser. To open it, give your real name, work email address, care organisation, and care management system. We send a welcome email to you with a copy to hi@bettercare-ai.com. Section 11 of the privacy policy explains how we use these details.
Your demo access lasts 7 days. We may change, limit, or end the demo at any time. Some features are not available in the demo, and a recording stops at 3 minutes.
Use only the fictional residents in the demo. Do not record real residents, real care, or people who have not agreed to it. Demo care notes are examples. Do not use them as care records. We delete demo audio, transcripts, and care notes within 24 hours.
